Project Director – Asset Management
Responsibilities
- Work with senior leadership across the company’s various business lines to help oversee diverse real estate assets.
- Track goals and objectives for each property.
- Assist in the preparation and approval process of property operating budgets.
- Conduct market and demographic research.
- Financial analysis.
- Prepare and maintain reports and documents for executive management.
- Oversee local third party property managers and leasing agents.
- Seek, establish, build and maintain relationships.
- Coordinate with accounting to develop and implement financial models for projects.
- Prepare and maintain files for each property that provides information on tenants, vendors buildings, utilities, contractors, contracts, emergency procedures, property insurance, and other information necessary to operate each property.
- Respond and resolve tenant complaints in a timely and professional manner.
- Administer tenants' and landlords' compliance with terms of the lease.
- Inspect properties on a regular basis for maintenance and tenant compliance.
- Solicit and analyze bids and contracts with vendors for property operations i.e. landscaping, HVAC, electrical, plumbing, trash, etc.
- Conduct move-in and move-out suite inspections with tenants prior to occupancy or upon expiration of lease and complete paperwork for security deposit refunds or closing out a tenant account on a timely basis.
- Coordinate with utility providers for timely transfer of accounts.
- Negotiate new leases and renewals.
- Negotiate and oversee Tenant Improvements.
- Assist with special projects including receivership assignments
- Evaluate property and organize take-over plan to assure a smooth and seamless transition.
- Site visit to introduce company as a new management company or hire a local management company.
- Review and prepare lease abstracts for all new tenants.
- Forward and communicate to accounting department the terms of each lease.
- Review maintenance contracts and evaluate quality standards.
- Negotiate contracts with qualified vendors for services appropriate for individual property.
- Arrange name change of all utility accounts.
- Qualify existing staff and/or interview for positions needed.
- Implement and monitor all property/tenant issues throughout transition.
- Negotiate and oversee Tenant Improvements.
- Assist with special projects including receivership assignments
- Review, approve and code all payables for each property.
- Review and approve application for all tenant payments.
- Monitor accounts receivable aging report for each property and act accordingly regarding delinquent tenants.
- Prepare management reports with narrative including analysis of material budget variances.
- Work closely with accounting department on all aspects of property financial reporting.
- Calculate and prepare annual CAM reconciliation.
- Prepare annual operating budget.
- Track property budgets in order to meet financial commitments.
- Bachelor’s degree required with a concentration in real estate, business, finance and/or accounting.
- Extensive understanding of real estate, with a proven track record of successful real estate transactions across all property types.
- Experience managing real estate brokers and due diligence consultants for purposes of evaluating and completing a wide range of real estate transactions.
- Working knowledge of real estate laws, documents and contracts including leases, subleases, lease assignments, development agreements, listing agreements and PSAs.
- 7 - 10 years real estate and property management experience.
- Flexibility to travel
- Working knowledge of financial data, budgets and variance analysis.
- Strong Microsoft Office skills (Word, Excel). QuickBooks and Argus experience a plus
- Experience and competence utilizing commercial real estate software platforms.
- Experience with tenant improvements.
- Strong organizational, written and verbal communication skills with attention to detail; interpersonal skills which facilitate teamwork. Ability to multi-task and prioritize. Demonstrated ability to take direction and follow-through on tasks independently with minimal supervision
- Experience in a small office environment handling a variety of tasks with a demonstrated ability to be flexible and follow and/or set priorities
*Candidate must be located in San Diego, CA or willing to relocate on own. Relocation assistance will not be offered for this position.
