Summary

The Assistant Operations Manager is responsible for the operational functions that support the growth and profitability of Landmark Construction. This position participates in the development, implementation, and support of strategies and initiatives of the construction operations team.

 

Roles and Responsibilities

  • Assist with new site setup:
    • Provide Landmark Construction’s standards for organized, standardized layout of office equipment, construction documents, safety related items and job site compliant materials.
    • Assist with new site safety & marketing signage.
  • Assist with ensuring teams comply with proper document controls (i.e. - organizing and labeling folders and files), including auditing Procore’s Documents tool to ensure standard required documents are uploaded into correct folders.
  • Assist in managing the onboarding process:
  • Ensure contact databases are updated once new hire notification is received from the HR department.
  • Update Procore directory when new hire notification is received from the HR department.
  • Ensure Landmark Construction onboarding welcome package is sent to all new employees
  • Support addressing new employee needs.
  • Assist in creating and updating program manuals and materials for distribution to project teams.
  • Assist in the further creation and revisions to Procore & Learning Center tools or the documents that support these.
  • Assist in training teams with Procore tools & the Learning Center and how they are used.
  • Communicate best practices to all project teams.
  • Assist in ensuring lessons learned practices and processes are implemented on all projects.
  • Assist in the overall training and development of construction employees.
  • Assist in finding creative ways to incentivize project teams to continually improve in all construction programs and aspects of managing the project.
  • Assist in monitoring and tracking program’s performance goals.
  • Provide weekly dashboard reporting for all projects.
  • Monitor and analyze reports to identify risks, needs or improvements for current and future projects.
  • Assist in creating, revising and maintaining reports.
  • Assist in communicating proper inputs to the project teams for reports.
  • Assist project teams with 3rd Party Consultant inspections, ensuring noted deficiencies are completed in a timely manner, and auditing the reports (i.e. – ADA, Waterproofing/Building Envelope Reports).
  • Assist with coordinating QA/QC inspections.
  • Assist with facilitating and performing Standard of Quality (SOQ) walks.
  • Create, revise and maintain inspections and punch list reports in Procore.
  • Support Transition to Operations coordination for all projects.
  • Assist with training, communicating and monitoring closeout activities throughout the construction and closeout phases.
  • Assist project teams in closeout activities as needed.
  • Assist with Lessons Learned meetings, coordination, and tracking.
  • Plan and organize construction operations events and those events assigned to construction operations, including booking venue, arranging travel and accommodations, picking a menu, ordering awards, etc.
  • Assist with other Landmark Construction events as assigned by manager.
  • Assist in coordinating lunch and learn events with project teams, especially those teams with important needs for a specific topic related to their project.
  • Assist in the development, implementation and oversight of construction operations initiatives.

 

Requirements

  • Degree in construction management, engineering, building science, architecture or related field or equivalent professional experience
  • Minimum 3 years of construction-related or other relevant experience
  • Ability to prioritize work and meet project deadlines
  • Strong attention to detail, organization skills, controlled sense of urgency, and the ability manage multiple, competing priorities
  • Positive and collaborative attitude with strong interpersonal skills
  • Critical thinker and self-starter capable of accomplishing a task with limited guidance and supervision
  • Demonstrate integrity, respect, innovation, job dedication, and excellence in their work
  • Demonstrate leadership/coaching skills and the ability to influence others
  • Ability to interact/communicate effectively in a professional and pleasant manner with vendors, affiliates, stakeholders, corporate shareholders and company employees

  • Ability to interpret policy and procedures, including knowledge of contract documents, specifications as well as the ability to read and interpret consultant reports
  • Strong computer skills along with the ability to operate proficiently with Microsoft Office Programs
  • Ability to learn to read and understand Architectural, Structural, Mechanical, Electrical, Civil and Landscape drawings
  • Ability to travel to other offices and project sites as needed
