General Position Summary:

 

Responsible for overseeing the occupancy and maintenance of medical properties held by  business affiliated with First Management but located in Overland Park, Kansas.  Job duties include collecting rents, handling requests for maintenance or repairs, and direct tenant interactions.

 

Essential Functions/Major Responsibilities:

 

  • Oversee all property management functions for the medical properties.
  • Strong knowledge of construction practices and building systems operations.
  • Maintain tenant relations and process any lease related tenant problems that occur.
  • Ongoing direct visits with tenants to assure satisfaction and schedule/perform needed maintenance.
  • Approve all maintenance projects.  Larger projects include gathering multiple bids.
  • Receive, approve, and forward all invoices from vendors to accounting for processing.  Inspect work to ensure compliance with work order.
  • Verify supplies received against purchase orders and invoices.
  • Work with insurance regarding policy placement and renewals.
  • Travel to Phoenixville, PA (Philadelphia area), Granbury, TX, Willow Park, TX and Denver, CO to visit the medical office buildings.
  • Take lead, with assistance from accounting, in development of annual operating and capital budgets.
  • Prepare annual operating expense reconciliation, including cover letter and following up on late payments.
  • Track budget-to-actual revenue and expenses quarterly on YTD basis, with explanation for line items with 5% or greater variance over/under budget.
  • Enforce and collect delinquent tenant charges.
  • Prepare notice letters to tenants regarding annual rent increases and provide copy to accounting for update of budget and tenant invoices.
  • Produce and updated quarterly rent rolls.
  • Compose and send lender reporting packages as required by loan documents.
  • Quarterly inspections of each property.
  • Maintain purchase order logs, contract, and other tenant construction files.
  • Dispatch maintenance personnel as needed.
  • Perform minor maintenance requests from tenants (if no vendor needed).
  • Coordinate all maintenance requests using online system. 
  • TI work, building repair, or Cap Ex project management, as needed.

 

Responsible for the following properties:

  • Medical office buildings and parking garage in Phoenixville, PA
  • Medical office building in Granbury, TX
  • Medical office building in Willow Park, TX
  • Medical office buildings in the Kansas City area
  • Medical office buildings in Denver, CO

Requirements and Qualifications:

 

  • Bachelor’s degree preferred.
  • 10+ years real estate experience.
  • Experience with Quickbooks, Yardi and Microsoft Office products.
  • Knowledge of purchasing contracts and lease agreements.
  • Strict attention to detail, highly organized and efficient.
  • Strong written and verbal communication skills.
