POSITION TITLE:              Lease Administrator

 

REPORTS TO:                   Vice President, Director of Life Sciences Management

 

SUPPORT FOR:                PMs, APMs and Senior Lease Administrator

 

RESPONSIBLE FOR:        Accounts Payable, Accounts Receivable and Month-End Reconciliation

 

 

DUTIES AND RESPONSIBILITIES:

 

Weekly:

  • Organize and code vendor invoices; coordinate review and approval by PM’s and distribution to Accounting for processing
  • Mailing of checks to vendors
  • Filing of check and vendor invoice backup – both online and physical files
  • Assist in vendor inquiries

Monthly:

  • Assist in review of property A/R and A/P in preparation of closing reports to Accounting
  • Assist in preparation of monthly management fee invoices
  • Assist in the review and confirmation of tenant charges report; approved by PM and sent to Accounting
  • Assist in the preparation of tenant billing adjustments
  • Assist in the review and prepare tenant statements; coordinating backup and distribution
  • Checking bank balances for tenant deposits
  • Research and apply cash receipt from tenants
  • Abstract tenant leases and input lease information into accounting system
  • Complete vendor set ups in accounting system
  • Assist in compiling monthly financial reports

Education and Experience

  • High school diploma required
  • Some Accounting experience a plus
  • Commercial property management experience a plus

Qualifications

  • Advanced communication skills both oral and written
  • Strong organizational skills and attention to detail
  • Self-starter, able to manage multiple projects under pressure
  • Ability to work efficiently as a team member, dealing with coworkers and clients at all levels and disciplines
  • Ability to work independently
  • Ability to occasionally work flexible hours which may exceed 8 hours per day or 40 hours per week
  • Personable and friendly demeanor in person, on phone and in email
  • Proficient knowledge of Microsoft Office, including Word, Excel and Adobe
  • Ability to gain proficient knowledge of other software programs as required
