The Software Project Coordinator is a key position that will partner directly with the SVP of Operations and operations team as well as internal/external stakeholders on a diverse range of projects, with a specific responsibility for managing and supporting the Asana platform. The software coordinator is an integral part of the team that will be the primary Asana resource for the operations team, various management companies and the broader LivCor Asset Management group.  Coordinator will be responsible for creating, organizing and managing workflows, project set up, administration of software and training while promoting engagement and adoption by all internal/external stakeholders. Role on the Operations team specifically will require that they be a strategic thinker that shares responsibility for ensuring Operations projects stay on track and supports communication to ensure that team goals are being met. Software coordinator will perform both technical and administrative tasks to ensure functionality and efficiency of Asana software. Role will be responsible for supporting other technology leveraged by Operations to include but not limited to Leo 24/7 and other systems regularly leveraged by our PMC partners. Likely to support pilots/tests and implementations of future such technology.

The software coordinator is an articulate and clear communicator. They must communicate with various stakeholders from each department when setting up project templates, to include senior managers and executive leaders. The coordinator should be highly organized, exceptionally detail oriented, service oriented with ability to meet deadlines and a demonstrated ability to develop reporting on projects. Will be able to lead and facilitate highly engaged, collaborative meetings and provide progress reports illustrating Asana or other technology platforms adoption/engagement. Will consistently be working on multiple project templates at the same time. The software coordinator typically works in an office setting, however, not required. The Coordinator could also visit or work on the property site(s) or in management group offices. This job may require more than 40 hours a week, depending on the project(s). The hours worked could also increase closer to project deadlines.

What you will do:

  • Provides structure for smooth communication between operations and internal departments; demonstrating leadership to maintain credibility, trust, and support with overall team.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting general correspondence, memos, and letters, and other tasks that facilitate team’s ability to effectively manage operations and operating partner relationships and projects
  • Participates and coordinate project planning, advising project leadership on best practices, deliverables, timelines and risks
  • Must be knowledgeable in project management software, knowledge of Asana is a plus
  • Must be critical thinkers and problem-solvers with great attention to detail.
  • Since end user support and teamwork are important aspects of the role, excellent communication and people skills are required
  • Collects and aggregates data and information (Asana and other)
  • Creates various dashboards and to provide reporting
  • Institute protocols for the use of Asana across departments and projects
  • Provide advice on the most suitable integration choices
  • Provide technical support or training for software
  • Act as liaison between end users and higher-level support
  • Monitor software performance
  • Perform troubleshooting, repairs within software workflows
  • Collaborate with other professionals to maintain standards and functionality
  • Maintain user access for multiple users/systems for internal and external partners (Asana and other)
  • Communicate with internal and external partners on progress and track feedback
  • Work with operations team, management companies, and broader LivCor departments to produce recommendations on workflow setup
  • Facilitates the efforts of the Operations team to support project initiatives.
  • Works closely with department leads to effectively keep them well informed of Asana capabilities and following up appropriately
  • The right candidate will be an experienced professional with exposure to operational functions and have a passion for learning as well as the following:
    • Bachelor's degree preferred, or equivalent experience
    • Multifamily operations experience or related preferred
  • Comfortable using software programs to process data and interpret the results through critical thinking
  • Support on-boarding of new Operators and team members while leveraging technology
  • Ability to generate job aides and collateral for Operators and Internal partners
  • Strong written and verbal communication skills; detail orientation
  • Collaborate at all levels, working with team members, senior management, and business owners to move projects forward
  • Working in a fast-paced environment with changing deadlines
  • Engaged and collaborative team player with high energy and strong analytical thinking

 

What you should have:

  • 1 year of experience in property management operations or related multifamily experience preferred
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, senior management, external parties
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
  • Forward looking thinker, who actively seeks opportunities and proposes solutions
  • Friendly and professional demeanor
  • High energy with initiative and “we” mentality
  • Heart with Smart
  • Thorough knowledge of Microsoft applications and other general office equipment as well as project management software is preferred. Outlook experience preferred
