Description


Duties: 
  • The Property Assistant is responsible for the highly professional day to day support of the General Manager and team members for Promenade at Coconut Creek (PACC) and Hill Partners, Inc (HPI).

 

Responsibilities:
    • Assist the General Manager in daily coordination of property management, construction management, and corporate office administration.
    • Liaison for all PACC tenant issues. Main point of contact for any issues, inquires and follow through to resolve. Coordinate with manager on actions to take.
    • Daily coordinate/check in with PACC day porter on additional tasks, routine maintenance, or any other items. As needed, coordinate with vendors on ongoing maintenance matters.
    • Obtain service estimates, have approved by General Manager.
    • Prepare and send tenant notifications on daily issues.
    • Update tenant and vendor contact lists.
    • Update Sales Report monthly.
    • May require 2-3 weekend days of work per year.
    • Obtain and review onsite security daily report and any incident reports. Coordinate actions requited.
    • Prepare incident reports on PACC forms and report any insurance claims to insurance carrier.
    • Responsible for PACC administrative functions including answering phones, greeting visitors, assist with ordering supplies, obtain, stamp, and distribute mail, maintain cleanliness in kitchen and any general office administrative functions.
    • Coordinate with vendors on period inspections and reports.
    • Send reminders and follow up with tenants and contractors/vendors to maintain and update insurance and maintenance logs.
    • Work with all HPI departments, cooperate with all HPI staff and help support as requested by HPI officers. 
    • File all correspondence on network and into respective file cabinets.
    • Florida Notary or the ability to obtain.

Performance Standards:

  • Assistant shall help General Manager and HPI team achieve goals and objectives on each assigned existing or new development.
  • Assistant will report to work on time and be ready for work each day.
  • Keep highly organized workplace and provide accurate work product.
  • Be positive, proactive, innovative, enthusiastic, and a self-starter.
  • Accomplished skills in Word, Excel, Outlook, and PowerPoint.
  • MRI experience is helpful but will train for the right candidate.
